Every year, BBP Consulting endeavors to elevate the quality and impact of the Aviation Council of Pennsylvania's annual conference. In pursuit of this goal, ACP co-hosted the 43rd Annual PA Aviation Conference alongside the Lehigh Valley International Airport at the Historic Hotel Bethlehem. This dynamic event took place from October 9 through October 11, 2023, serving as a testament to our client's commitment to advancing the aviation industry and fostering collaboration within the Pennsylvania aviation community.

1. Facilitate Strategic Networking: Create a space for attendees to foster valuable connections between industry professionals and new businesses, thereby expanding the network and enhancing the potential for partnerships within the Pennsylvania aviation industry.
We initiated a dedicated networking session to facilitate interactions between industry professionals and representatives from new businesses. The kick-off event, "Oktoberfest," featured additional attractions such as a basket raffle and a 50/50 fundraiser for ACP’s scholarship initiative, adding a charitable aspect to networking. Furthermore, we established a dedicated networking event within the exhibit area, enabling attendees to establish new connections with our 27 exhibitors. To enhance the networking experience, we leveraged the Whova event platform, allowing attendees, exhibitors, and sponsors to interact virtually before, during, and after the event. The Whova app also facilitated 25 meet-ups, 541 messages between attendees, 56 community board topic posts, and more, making networking more accessible and efficient.
2. Elevate the PA Aviation Sector: Advocate for the growth of the aviation industry in Pennsylvania by emphasizing the pivotal role of the Aviation Council of Pennsylvania and its community, promoting collaborative efforts to enhance industry standards and performance.
We executed a comprehensive marketing campaign that emphasized the crucial role of the Aviation Council of Pennsylvania and underscored the collective efforts of the aviation community. To further highlight the importance of the sector, we organized panel discussions and workshops that addressed critical industry challenges and proposed innovative solutions, fostering a culture of growth and improvement.
3. Promote Event Awareness: Market comprehensive information about the event to educate a wider audience, underscoring its significance in the aviation domain and encouraging broader participation.
Our strategy included utilizing multi-channel marketing techniques, and incorporating social media and email campaigns, to raise awareness about the event. To incentivize early registrations and promote word-of-mouth promotion, we offered discounts for early bird registration and referral incentives to ACP’s members. This comprehensive approach ensured that the event received the attention it deserved.
4. Surpass Financial Expectations: Achieve financial objectives by exceeding the projected budget, ensuring the sustainability and success of the conference while managing resources effectively.
We implemented a financial strategy aimed at diversifying revenue streams. This included offering premium ticket packages and providing exhibitor opportunities. To ensure the event's financial success, we implemented rigorous expense management through a detailed budgeting process and explored cost-saving measures. Additionally, we fostered relationships with potential investors and sponsors who shared the vision of the conference and could provide additional funding, ensuring the event's financial sustainability and surpassing expectations.
5. Enhance Session and Speaker Relevance: Curate sessions and speakers that provide meaningful insights and practical knowledge to enrich the experience of attendees, aligning closely with their needs and interests as well as equipping them with the most relevant and updated technology advancements in the field.
Collaborating with a diverse advisory board, we curated a program that covered a wide range of topics, ensuring that the sessions were closely aligned with attendees' interests. The inclusion of keynote speakers such as Michael Carroll, Secretary of Transportation, BOA, and Senator Lisa M. Boscola, along with prominent figures from the aviation and drone industry, further enriched the event, offering a diverse range of perspectives and expertise.
6. Maximize Sponsorship Engagement: Optimize sponsorship engagement by securing commitments from both new and previous companies, ensuring that their participation contributes to the overall success and visibility of the conference.
Our strategy for maximizing sponsorship engagement involved developing customized sponsorship packages tailored to the specific needs and goals of both new and existing sponsors. We provided sponsors with prominent branding opportunities, such as logo placement, dedicated sessions, or exhibition spaces, ensuring their visibility and impact on the conference. Sponsors and exhibitors gained 50,589 impressions through our event app Whova as well as social and email markering. To foster meaningful connections and business opportunities, we created exclusive networking events for sponsors and key industry figures, enhancing their engagement and reinforcing their commitment to the event's success. The event had a total of 50 sponsors and 27 exhibitors.
In conclusion, the 43rd Annual PA Aviation Conference exemplified our dedication to exceeding expectations and delivering a conference that advanced the aviation industry, fostered valuable connections, and left a positive impact on the Pennsylvania aviation community.
